Position Purpose and Scope
The purpose of this position is to obtain financial contributions from individuals, foundations, corporations and to promote the Madeleine Choir School. The incumbent will have a focus on Corporate and Annual Giving and MCS’s Capital Campaign. Reporting to the Pastoral Administrator, this position is an active and collaborative member of the MCS Leadership team and acts as a strategic partner with the Madeleine Choir School Board’s Finance Committee, setting goals related to yearly revenue, expenses and program/portfolio development.
The incumbent will be responsible to manage significant programs and donor portfolios with oversight from the Pastoral Administrator and is held accountable to meet financial and marketing goals for the school. The Director will interact with a wide range of people including MCS families, volunteers, high-level civic, private and corporate leaders, bankers and lawyers, and media/celebrities. The incumbent must represent Madeleine Choir School with the utmost professionalism.
This position supervises 1-2 paid staff positions (including all Human Resource functions of hiring, firing and performance evaluation) and oversees the work of approximately 200 volunteers. In addition, this position is accountable for a large departmental budget.
Key Responsibilities
- Major and Planned Gifts
- Acts as a strategic partner with the Finance Committee setting goals related to yearly revenue, expense and program/portfolio development;
- Manages MCS’s portfolio of donors and is responsible for developing a work plan and activities to meet and visit with them regularly as interest and donation size warrants;
- Builds strong personal relationships and represents MCS appropriately with all constituencies (staff, families, board members, community/corporate leaders, media, etc.) in a manner that increases understanding and support, ultimately encouraging current/prospective donors to give to MCS;
- Assists leadership with analyzing all non-cash, in-kind gifts such as bonds, real estate, life insurance, trusts, etc. and forms successful partnerships with professionals such as CPAs, estate planning attorneys and financial advisors;
- Researches, develops, and prepares cultivation strategies for potential Major Gift support. This includes creation of briefing materials, proposal ideas and solicitation plans. It also requires consistent and effective tracking documentation so that follow up and coordination can be done;
- Leads with the development and completion of materials related to major gift campaigns and other donor proposals (e.g. annual reports, newsletters, and marketing brochures);
- Leads in campaign activities, as needed;
- Develops, organizes and executes activities related to donor recognition;
- Prepares monthly progress / goal updates for review and a discussion with MCS Board of Directors;
- Creates and gives engaging presentations for donors, board members and other organizations/individuals;
- Stays current on school activities, events and achievements and integrates this information into donor relationships;
- Participates in continuing education to enhance and increase fundraising skills, maintain awareness of changes in philanthropy patterns and be current on related tax laws;
- Actively participates and supports members of MCS staff and faculty;
- Responds to voicemail and email promptly and effectively to maintain trust with all constituencies;
- Capital Campaign
- Manages all aspects of major events or programs and is responsible for developing and executing plans to increase participation, contribution revenue and recruitment levels. This includes creation of briefing materials, proposal ideas, and marketing / solicitation plans. It also requires consistent and effective tracking documentation so that follow-up and coordination can be done;
- Responsible for soliciting underwriting for events and programs and adhering to policies and procedures for donor solicitation;
- Builds strong personal relationships and represents MCS appropriately with all constituencies (e.g. staff, families, board members, community/corporate leaders, media, etc) in a manner that increases understanding and support, ultimately obtaining increases in contributions, participation and in-kind donations;
- Consistently reviews outcomes of events and programs, assessing opportunities for improvement;
- Assists with the development and completion of materials related to programs and events (e.g. annual reports, newsletters and marketing brochures);
- Develops, organizes and executes activities related to donor and volunteer recognition;
- Prepares monthly progress/goal updates for review and discussion with the Board;
- Creates and gives engaging presentations for donors, board members, volunteers and other organizations/individuals;
- Grant Writing
- Researches and prepares grant applications to solicit funds;
- Prepares grant reports;
- Develops and maintains strong relationships with foundation executive directors and trustees;
- Event Planning
- Oversees concert production and receptions;
- Oversees concert marketing;
- Annual Auction
- Coordinates staff and volunteers for MCS events, including the annual silent auction and live auction;
- Marketing
- Oversees all marketing materials, concert season collateral, annual appeal materials and admissions materials;
- Oversees weekly website updates;
- Oversees concert information line;
Minimum Requirements
- Bachelor’s degree from an accredited institution;
- Three years of experience in direct foundation, fundraising or non profit work, such as event planning, fundraising, prospect research, volunteer recruitment, training and recognition, proposal / grant development, presentations and public speaking, working effectively with board members, civic and business leaders and other constituencies;
- Strong analytic, research and strategic thinking skills (confirmed through work portfolio and references);
- Three years experience in creating donor solicitation documents and presentation development;
- Demonstrated ability to make effective presentations in front of small and large audiences (confirmed through interview process and references);
- Advanced writing skills that produce clear, accurate and persuasive communications (writing samples requires at time of interview);
- Demonstrated track record of effective interpersonal skills;
- Ability to manage multiple projects at once and work independently;
- Proficiency using computer programs and databases;
- Experience working and managing volunteers.

- CFRE
- Philanthropic experience in an academic setting
- Experience supervising staff, including oversight of staff assignments and human resources responsibilities, as well as volunteer staff issues
- Experience managing budges
