Office Manager
Job Description 2012
Responsibilities:
Office Administration
•
prepare
and maintain procedures manuals, documents, files, records
•
work
with computer/IT consultant for maintenance and upgrades as needed
•
monitor,
replenish, and organize office supplies and stationery
•
work
with vendors and service providers
•
arrange
for building maintenance and cleaning
•
arrange
for equipment maintenance and repair
Board Relations
•
make
arrangements for board of directors and committee meetings
•
assemble
and distribute board materials
•
maintain
board data
•
take
minutes of board meetings
•
update
board section of website
Event Planning
•
make
arrangements for meetings, receptions, events
•
collect
RSVPs
Receptionist/Clerical
•
assist
telephone callers and office visitors
•
develop
knowledge of all programs, publications, and staff positions
•
sort
and distribute mail
•
ensure
accuracy in records and printed materials
•
maintain
computer network files
•
provide
clerical and technical assistance to staff
•
conduct
library and internet research as needed
Qualifications:
Required:
•
work
experience as receptionist, clerical staff, and/or office manager
•
computer proficiency
in all MS Office applications
•
excellent
communication skills (telephone and in person)
•
excellent
command of written and spoken English
•
attention
to detail
•
ability
to multi-task
•
dependability
•
positive
attitude
Desirable:
•
bilingual
in Spanish and English
•
database
experience
•
nonprofit
office experience
•
experience
in computer troubleshooting
•
social
media experience
Hours: 15-18 hours/week; mornings preferred;
flexible hours
Pay: $10-12/hour
